  • Confirm executive sponsor and reporting cadence
  • Document the customer problem each QR experience will solve
  • List physical and digital touchpoints that will display QR codes
  • Identify legal, brand, or regulatory requirements per region
  • Agree on primary success metrics (engagement, conversion, revenue, CSAT)

Content & Creative

  • Write call-to-action copy that clarifies value and next step
  • Design initial layout options with adequate whitespace and contrast
  • Define color palette and logo usage that maintain scan reliability
  • Create alternative access instructions (short URL, NFC, SMS) for accessibility
  • Prepare localized versions if the activation spans multiple languages

Technical Configuration

  • Choose static vs dynamic QR code for each use case and document rationale
  • Set up branded domains or custom paths for redirects
  • Attach UTM parameters and campaign IDs for downstream analytics

  • Test destination experiences on mobile devices for speed and usability

Quality Assurance

  • Print test proofs at final size and material to validate scannability
  • Evaluate codes under real-world lighting and distance scenarios
  • Scan with multiple devices and operating systems (iOS, Android, dedicated scanners)
  • Review error correction level and contrast against brand standards
  • Collect pilot feedback from staff or users and resolve usability issues

Operations & Training

  • Create rollout brief for store associates, hosts, or field reps
  • Film short demo that shows how the QR experience works end-to-end
  • Publish troubleshooting guidance and escalation contacts
  • Schedule installation or placement timeline with facilities/vendors
  • Align support team on how to log QR-related incidents and FAQs

Measurement & Optimization

  • Launch live dashboard combining scan volume and conversion metrics
  • Define threshold alerts if scans drop or destinations fail
  • Plan first three experiments (creative, offer, placement) with target dates
  • Document governance cadence for reviewing performance and approving changes
  • Archive or refresh campaigns when offers expire or messaging shifts
